The Best-Run Businesses Run on SAP
SAP Business One is the most effective, efficient, and easy to use ERP
solution for Small & Medium Enterprises. This solution is built for small
businesses that want to fully integrate their end-to-end business and grow.
This is best fit for companies that have outgrown packaged accounting-
only software and need to replace multiple, non-integrated applications. It
is customizable to the particular needs of the organization, within the ERP
frame. The efficient database, MS-SQL Server will manage all the data
very fast and efficiently. Once installed & implemented by a specialist,
SAP Business One takes care of all the rudimentary jobs out of the hands
of specialist IT people. The organization can then carry on their business
activities without worrying about the data processing & storing. All
activities from financials - purchasing - stocking - production - selling -
banking - receivables - reporting - hr management, all can be carried out
through SAP Business One, instead of doing it on paper and then
transferring to some computer application and then doing processing to get
results. SAP Business One is a real-time, enterprise-wide functional
environment, and it can be customizable to the particular needs of the
organization, within the ERP framework.

Implementation Methodology
It is important for customers to inform themselves of the key factors
contributing to successful software implementations and the pitfalls they
must avoid. Well-planned, customer-focused implementations that follow a
structured framework are likely candidates for success, with straight-
forward migrations and integration, few interruptions, and low user stress to
yield a rapid ROI.
The Accelerated Implementation Methodology divides the
implementation projects into 5 phases. It starts when the customer signs
the contract - the time when the sales team hands the project over to the
Consulting and Implementation team. It goes on to cover the entire
implementation process and the concluding review and optimization
conference, which takes place several weeks after the project is handed
over to the customer.
1. Project Preparation
The purpose of this phase is to provide initial planning and preparation for
implementation. All requirements specified by the customer has to be
collected from the sales team and clearly aligned with the product
functionality. Availability of hardware, software, and people to be confirmed.
SAP Business One can be installed at customer site and a high-level
demonstration of the product can be given to the core team members. Core
team members can play with the standard functionality available in SAP
Business One. An executive steering committee to be formed in order to tie
executive management support which is very crucial for the success of SAP
Business One implementation.
2. Business Blueprint
In this crucial phase, customer requirements in detail are gathered,
examined and documented. At this stage, customer has the opportunity to
re-examine and improve their business processes to align with the best
practices implemented in SAP Business One. Also, a decision has to be
taken whether the historic transaction data need to be migrated to SAP
Business One. It is important to document all customer requirements, as
even seemingly small changes to initial scope can have a significant impact
on cost & timeline of the project. The result of all these is the Business
Blueprint, which documents in detail the results gathered during the
requirements workshops. The business blueprint serves as a technical and
functional guide during the subsequent phases of the implementation
project.
3. Project Realization
This is the most significant phase of the SAP Business One accelerated
implementation methodology. The goal of project realization is to implement
all the business process and technical requirements gathered during the
previous phases and documented in the business blueprint. The
consultants validate and update the configuration and demonstrate
processes while customer project team updates the work instructions
(business process procedures, for example) and performs unit and
integration tests. Customization based on the business blueprint are done
in SAP Business One at the customer site. Other activities done during this
phase are Data migration (if applicable), Validation of system setup,
System testing, Definition of training and cut-over plan, and Project phase
review & sign-off from customer.
Important points to be considered at this stage:
Minimize the number of changes to setup and scope as such
changes significantly affect testing and training
Customer team should ensure the quality and integrity of the data
being migrated
Ensure customer’s Core Team members are present during all or
large parts of system validation and acceptance testing
Review all output documents - for example, invoices, purchase
orders, and reports as well as financial statements - before sign-off
4. Final Preparation
This phase focuses on preparing both the software and the customer for
going live. Key activities during this phase include completing user and
administrator training as well as final fine-tuning of the software. As part of
final system tests, necessary adjustments are made to resolve all remaining
critical open issues. A sign-off from customer is necessary to close the
phase.
5. Going Live and Support
Completing this phase is the ultimate goal and the most exciting step of the
SAP Business One implementation project. This is when the organization
goes live with the software and starts managing all daily activities
independently. The going-live and support phase consists of two distinct
sub-phases. First, the project is completed with a formal project closing.
During this time, the software is used productively in day-to-day operations,
all issues and problems are resolved, transition to the production support
team is finalized, knowledge transfer is completed, and the project is signed
off. Subsequently, the continuous improvement sub-phase begins during
which the production support team monitors the software and resolves live
business process issues. Proper change management procedures are
established and ongoing end-user training is conducted. Continuously
review and improve business processes.
Benefits for Customers
The accelerated implementation methodology brings many benefits to the
customer. It provides customers with a clear understanding of the scope,
structure, and duration of implementing SAP Business One at the outset of
the project to eliminate surprises and overruns in time or budget. In
addition, the methodology brings customers peace of mind because they
know what all will be done in which all phases.
